Why Prompt Quality Compounds
A bad prompt costs you twenty minutes once. A bad prompt template costs you twenty minutes every time you use it.
A good prompt template costs you thirty minutes to write. It saves you twenty minutes every time it runs.
At ten uses, a good template has paid for itself. At a hundred uses, it is one of the most valuable assets in your business.

Every high-performing prompt has five components. Not all five need to be long. But all five should be present.
Role
Tell the model who it is for this task. Not in a magical incantation way. In a way that sets the operating context.
Bad: Write a support email.
Good: You are a customer support agent for a B2B SaaS company. Our customers are small business owners. We have a reputation for being direct, warm, and helpful without being sycophantic.
Role is shorthand for a dozen implicit instructions. It tells the model what the audience expects, what the voice should be, and what kinds of assumptions to make.
Context
Give the model the information it needs to do the job. Only that information.
Bad: Here is a ton of background about our company and our history and our product and how we got started.
Good: The customer's plan is Pro ($99/month). They have been with us for eight months. Their complaint: they cannot export data to CSV. This feature is on our roadmap for Q3.
Context is not your life story. It is the briefing a smart colleague would need to handle this specific task without asking you ten follow-up questions.
Task
State exactly what you want. Output-first. Not process-first.
Bad: Think about what this customer needs and help me respond.
Good: Write a support reply that acknowledges the limitation, confirms it is on the roadmap, offers the manual workaround (downloading individual reports), and closes with a goodwill gesture (one month credit).
The task description should be specific enough that you could evaluate the output against it. If the task is vague, the output will be vague.
Format
Describe the output format explicitly. Do not let the model guess.

- Structure (opening line, problem acknowledgment, solution, CTA)

Bad: Give me a summary.

Constraints

- Do not expand scope beyond the three items listed. If you think a fourth is needed, say so but do not do it.
- Do not add a disclaimer. Do not hedge. Do not suggest I consult a lawyer.
Agents are eager. They will add things you did not ask for. Constraints are how you stop them.
System Prompt vs. User Prompt
If you are building anything that runs repeatedly, you will encounter this distinction.
System prompt: The standing instructions. Who the agent is. What it can and cannot do. The voice, the standards, the operating context. This is the layer that stays constant.
User prompt: The per-task instruction. What to do right now. The specific input, the specific output, the specific constraints for this run.
For one-off use in a chat interface, this does not matter much. For automations, workflows, and agents you run a hundred times, it matters enormously.
The system prompt is your agent's job description. The user prompt is each morning's task list. Write them separately. Maintain them separately. Update the system prompt when the role changes, not when the task changes.
Writing Prompts for Consistent, Automatable Output
A prompt you use once can be sloppy. A prompt you use in an automation has to be exact.
Four rules for automation-grade prompts:
1. Specify the output format precisely. If you need JSON, say "Output valid JSON only. No markdown. No explanation." If you need a specific schema, paste the schema.
2. Handle edge cases explicitly. What should the model do if the input is missing a field? If the customer has not provided an order number? If the document is in a language other than English? Specify, or you will get creative improvisation.

What Not to Do: Common Mistakes That Cost You Time
Too vague. "Write me something about AI agents for small businesses." This is a wish. A prompt needs a specific output, a specific audience, a specific angle. Vague in, vague out.
No format specification. The model will choose a format. It will often choose wrong. Specify length, structure, and form before it has a chance to guess.
No constraints. You will get the corporate version of everything: hedged, padded, and full of phrases you would never actually use. Constraints are how you edit in advance instead of after.
Context dumping. Pasting your entire business background into every prompt. Relevant context makes prompts better. Irrelevant context makes them worse. The model has to work through everything you give it.
Static templates. Using the same prompt for every variation of a task, even when the task changes materially. Good prompts are task-aware. When the work changes, update the prompt.
No example of good output. A paragraph showing the output you want is worth more than three paragraphs describing it. When you have a good example, include it.
